Why this is worth an article of its own
Documents are the part of a recruitment that candidates think about last and that stops the most people. A mismatch is nobody's fault in particular, it is common, and it is entirely fixable — but only before verification, not at it.

The checking is done in person, against originals. A photocopy that agrees with your application does not help if the original disagrees with both.
What is checked
Verification looks at whether the person in front of the board is the person the application describes, and whether the claims in the application are supported by documents. In practice that means:
- Your name, spelled identically across your certificates, your identity document and your application.
- Your date of birth, as it appears on your matriculation certificate — which is generally the governing document for age.
- Your parentage, spelled consistently.
- Your education — the certificates and marksheets for the qualification your category requires.
- Anything you have claimed, such as a bonus mark or an exemption.
The exact list is set out in your own notification, and it is worth reading that list rather than this one.
The mismatches that actually happen
These are the ones worth checking for tonight rather than later.
A middle name that appears on one document and not another — extremely common, and it needs resolving.
An initial expanded on one document and abbreviated on another — the same problem in a different form.
A spelling that differs by one letter between the school certificate and an identity document — often a transliteration difference between scripts.
A date of birth that differs between the matriculation certificate and an identity document. The matriculation certificate is usually the governing one for recruitment purposes; check what your own notification says.
A parent's name spelled differently on your certificate and on their identity document.
A surname order that differs between documents.
None of these means anybody did anything wrong. They accumulate over years across different offices. They still have to be resolved.
Originals, and the bonus-mark trap
Under the Army's rally notification for the current cycle, bonus marks are claimed at the rally with original certificates.
That wording is worth reading twice. A candidate who is entitled to a bonus, has the certificate, and does not have the original in hand on the day, does not get the bonus. There is no later submission that recovers it.
The same principle applies more widely. Bring originals. Bring the photocopies the notification asks for as well, but the original is what is checked.
What to do about a mismatch
Start now, because corrections run through issuing authorities and they take time.
- Lay every document out and compare them field by field — name, date of birth, parentage, in that order.
- Identify which document is the one you will correct the others to — for age this is generally the matriculation certificate; check your notification.
- Apply to the issuing authority for the correction on the documents that disagree. A school board, a municipal office, or the authority that issued the identity document.
- Where a correction cannot be made in time, find out from the notification what evidence the recruiting body accepts for a discrepancy — an affidavit or a gazette notification is sometimes provided for, and sometimes is not. Read your own notification on this, because it varies and we will not guess it for you.
- Apply with the details that match your certificates, rather than the version you normally use.
Keep a document file
Practical, and it saves a great deal of trouble across a recruitment that runs over months.
- Every original, in one place.
- Several sets of self-attested photocopies.
- Digital scans, in the format your notification specifies.
- The acknowledgement of your application, with its number.
- The notification PDF you applied under.
Take that file to every stage. A candidate who has to go home for a document has usually lost the day.

- Put your certificates and your identity document side by side.
- Compare name, date of birth and parentage, character by character.
- Start any correction now, because issuing authorities work on their own timescale.
- Read the document list in your own notification, and build the file to it.
